Privacy Policy

Call Doctor Service (“we,” “us,” “our”) is the brand that operates the after-hours answering platform at https://calldoctorservice.com. This Privacy Policy explains how we collect, use, and share information, including mobile numbers used for SMS. It applies to our website, physician on-call board, telephone intake, and text messages. It is an operational policy, not legal advice.

Who this service is for

Call Doctor Service is a B2B after-hours answering product for U.S. medical practices and the clinicians they enroll for coverage. It is not a consumer marketing or promotional texting program. Patients who call a practice’s after-hours line are callers to that practice. Patients are not SMS subscribers and do not receive text messages from this program.

SMS program (Call Doctor Service account notifications)

Brand / sender: Call Doctor Service. Texts come from the after-hours number we assign to the practice.

Who we text: Only on-call physicians and covering clinicians who affirmatively opted in with an optional unchecked checkbox on https://calldoctorservice.com/register or https://calldoctorservice.com/sms-program to receive automated account-notification SMS about after-hours cases. We do not buy lists. We do not send marketing, promotional, or advertising texts.

What the texts include: The opted-in clinician text includes the patient date of birth and callback number so the doctor can return the call without opening the board, plus a link to the recording.

Message frequency: Message frequency varies. You may receive 1 to 4 messages per after-hours case (an initial alert and reminder texts). If you cover multiple cases while on call, you may receive additional messages that same day or month.

Message and data rates may apply.

Reply HELP for help. Reply STOP to cancel. After STOP, we will not send further SMS to that number unless the number is enrolled again with new affirmative consent.

Mobile numbers and messaging consent — required non-sharing statement

We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

Text messaging originator opt-in data and consent will not be shared with any third parties.

We do not sell, rent, or transfer SMS consent to other brands. Consent is for Call Doctor Service account-notification messages only. It is not consent for the medical practice, affiliates, or any other company to text you for marketing.

Service providers (not marketing partners)

We use vendors solely to operate the product: Twilio (voice and SMS delivery), Supabase (database and application functions), website hosting, and Microsoft Clarity on public website pages to understand how visitors use the marketing and request-service pages. We do not load Clarity on the physician on-call board or practice admin screens. Those providers may process a mobile number only to deliver the messages or calls you requested, under our instructions. They are not given mobile numbers or opt-in data for their own marketing or promotional use, and we do not authorize them to sell that data.

Practices that handle protected health information must have appropriate business associate agreements in place with us before live after-hours use. That is a HIPAA contracting requirement. It is not permission to share messaging consent for marketing.

How consent is collected

SMS consent is collected only through the opt-in paths described on https://calldoctorservice.com/sms-program: an optional, unchecked-by-default checkbox on https://calldoctorservice.com/register or on the public SMS program form. Visiting this website, paying for a practice subscription, or agreeing to general terms is not SMS opt-in. Consent is not a condition of purchase or of using the answering service or on-call board. Consent is campaign-specific to Call Doctor Service account notifications.

Information we collect

Call recordings are stored as audio and are not transcribed by this product. Patient-adjacent data is scoped to the physician’s practice.

How we use information

We use this information to operate after-hours answering: identify the practice from the called number, notify the opted-in on-call clinician by SMS and related alerts, enforce the callback workflow, confirm that a bridged return call occurred, and provide the on-call board. We do not use mobile numbers or consent data for advertising, lead generation, or affiliate marketing.

Access, retention, and security

Physicians see cases for their own practice. We retain after-hours records as needed to operate the service and as the practice directs. Request access or deletion through your practice administrator. We use access controls and encrypted transport; no internet service is perfectly secure.

Children

The SMS program and physician app are directed at practice staff, not children. Callers may leave information about a patient of any age; that information is handled as part of the practice’s after-hours record, not as a children’s website.

Changes

We may update this policy. The effective date at the top of this page will change when we do. Material changes to how we use mobile numbers for SMS will be reflected here before they apply.
